KEY PRINCIPLES
We treat the safety and wellbeing of all children attending our Academy as our highest priority. We reserve the right to remove from any session any person who is found to be engaged in offensive activity, bullying of others, disruptive behavior, or for any other reason where we consider a person's behavior to be detrimental to the interests or safety of persons attending a session. In the event of your removal from a session for any of these reasons, no refund of any fees paid by you shall be made.
With many students involved in the sessions at our Academy, we acknowledge it is our responsibility to have clear safeguarding policies that are accessible to and adopted by everyone in our sports community. We are proud of our achievements in protecting young players and turning 'best practice' into everyday practice.
1. The child's welfare is, and must always be, the paramount consideration. All children and young people have a right to be protected from abuse regardless of their age, gender, disability, culture, language, racial origin, religious beliefs, or sexual orientation.
2. All suspicions and allegations of abuse will be taken seriously and responded to swiftly and appropriately.
3. Working in partnership with other organizations, children and young people, and their parents and carers is essential.
PARTICIPANT CONDUCT
a. It is important that participants attend 100% of the sessions to receive the full benefit of the coaching program.
b. Participants are required to train at their scheduled class times in order to maintain appropriate coach-to-participant ratios.
c. In order for participants to achieve consistent results and progression, we recommend that all participants attend a sports program with one company only. Different approaches from different companies at the same time can have a detrimental effect on the participant's progress.
d. Participants are required to arrive promptly at each session (at least 5 minutes prior to the start time), with their required sports apparel such as goggles, shoes, sports costume, and any other equipment as directed by the coach.
e. Participants should not eat a heavy meal prior to class. A light snack only is advised. No food or chewing gum is allowed around the sports ground area.
f. To ensure that our coaches have the undivided attention of the participant, we request that parents refrain from talking or interacting with the child or coach throughout the session.
MANDATORY UNIFORM REQUIREMENTS
All participants must wear the appropriate PSA Academy uniform for their sport. Uniforms are mandatory and must be purchased from the Academy.
Sport-Specific Uniform Requirements:
• Swimming: PSA swimming cap (mandatory for all swimming sessions)
• Football: PSA Football Academy kit
• Basketball: PSA Basketball Academy kit
• Gymnastics: PSA Academy leotard
Important: Participants without proper uniform may not be permitted to participate in the session. Uniform costs are separate from class fees and are non-refundable.
CLASS CANCELLATION POLICY
All class cancellations must be made through the ClassCard app.
• Cancellations must be made a minimum of 4 hours before the scheduled class time.
• If you cancel less than 4 hours before the class, or if you do not show up, you will lose that class session with no refund or makeup option.
• This policy ensures fair scheduling for all participants and allows us to fill spots with other students.
BEHAVIOR AND DISCIPLINE POLICY
We are committed to maintaining a positive, safe, and respectful environment for all participants. While we work with families to address behavioral issues, persistent misbehavior or rudeness will not be tolerated.
1. If a child exhibits rude, disruptive, or misbehaved conduct, the coaching staff will issue a first warning and communicate this to the parents/guardians.
2. If the behavior continues, a second warning will be issued with a written notice to the parents/guardians outlining the specific concerns.
3. After a third warning, if no improvement is observed, the child may be dismissed from the program without any refund of fees paid.
This policy is designed to protect the learning environment for all participants and ensure the safety and wellbeing of everyone at our Academy.
PARENT/GUARDIAN RESPONSIBILITY
Drop-Off and Pick-Up Policy
1. Parents or guardians must accompany their child during both drop-off and pick-up. It is solely the parents' responsibility to ensure that their child arrives at the location safely and is picked up promptly.
2. Prosports Service LLC (PSA Academy / ProSports Academy) will take responsibility for the children during the class. However, there is a 15-minute window after the class ends for pick-up. Beyond this window, the responsibility reverts to the parents.
3. Late pick-ups beyond the 15-minute window may result in additional charges or removal from the program. It is the parent's responsibility to ensure timely arrival and pick-up.
4. Parents are responsible for supervising their child/children before and after the lesson outside of class time.
STUDENT STATUS
By booking a training session with us, you confirm that:
g. You are legally capable of entering into an agreement; or
h. You are at least 18 years old; or
i. A parent or guardian has entered into the agreement on the student/participant's behalf.
1. All new participants are required to attend a short assessment session prior to starting the term so that our coaches can place them in the correct level. Please note that we reserve the right to move participants between levels during the term to ensure they are progressing at the correct level. Participants should bring their sports kit to the assessment. Assessments and trial classes are charged.
PAYMENT TERMS AND CONDITIONS
1. All term and monthly payments must be made in advance.
2. 1-Month packages are valid for 30 days from the date of the first class attended. 3-Month packages are valid for 90 days from the date of the first class attended.
3. Packages should be renewed on time or you risk losing the child's place in the program.
4. If you are registering once the term has already commenced, you will be required to pay for all remaining sessions in the coaching term.
5. Paid term sessions are valid only during that term and cannot be transferred to the next term.
6. All registrations/bookings are to be made via our website and are dealt with on a first-come, first-served basis.
7. Uniform, registration fees, and VAT are NON-REFUNDABLE under any circumstances.
ANNUAL REGISTRATION FEE
All participants are required to pay an annual registration fee of 50 AED + 5% VAT.
• This registration fee is payable upon initial enrollment and must be renewed annually from the date of payment.
• The registration fee covers administrative costs, participant insurance, and access to Academy facilities.
• The annual registration fee is non-refundable and non-transferable.
TIMETABLE AND VENUE CHANGES
The Academy reserves the right to modify class timetables and venue locations as necessary due to operational requirements, facility availability, or unforeseen circumstances.
• In the event of a timetable or venue change, we will provide advance notice whenever possible and offer alternative class times or locations.
• If the alternative options provided are not suitable for your schedule or circumstances, you may request a credit note for the remaining sessions in your package.
• Please note: No cash refunds will be provided for timetable or venue changes. Only credit notes will be issued, which can be used toward future bookings at the Academy.
• Credit notes are valid for 6 months from the date of issue and are non-transferable.
PAID PACKAGE EXTENSIONS
In exceptional circumstances, package extensions may be available at the discretion of the Academy management. Extensions are subject to the following terms:
• 1-Week Extension: 40 AED + 5% VAT
• 2-Week Extension: 80 AED + 5% VAT
Important: Extension requests must be submitted in writing via email or through the ClassCard app. The Academy reserves the right to accept or decline extension requests based on availability, class schedules, and individual circumstances. Extensions are not guaranteed and will be reviewed on a case-by-case basis.
REFUND AND MAKEUP CLASS POLICY
4. We generally follow a 'no refund' policy, but exceptions may be made at the discretion of management. A 25% administrative fee will be applied to any approved refunds.
5. We do not offer refunds or makeup lessons for missed sessions, except in the circumstances outlined herein. However, if we cancel a session, a makeup lesson will be offered.
6. Makeup classes are only allowed ONE time for monthly and termly packages. Makeup classes must be booked during the same period of their current sessions and the original class must be cancelled at least 4 hours before the scheduled class time.
7. Makeup classes cannot be carried over to the following term, nor will they be reimbursed if unused.
8. We will consider makeup sessions on a case-by-case basis. In the event of an illness, a doctor's note must be provided.
9. Full refunds for cancellations will only be issued under the following circumstances:
j. Major illness
k. Major injury
l. Hospitalization and rehabilitation exceeding two weeks
Medical documentation is required for all refund requests in the above circumstances.
HEALTH AND SAFETY
We request information concerning any medical conditions regarding the person(s) wishing to train at the Academy so our staff/coaches can be made aware and prepared in case of emergency. All medical information will be kept confidential and used solely for the safety and wellbeing of the participant.
Parents/guardians must inform the Academy immediately if there are any changes to the participant's health status, medications, or emergency contact information.
TRANSFER OF RIGHTS AND OBLIGATIONS:
You may not transfer, assign, charge or otherwise re-assign booked sessions, or any of your rights or obligations arising under it, without the prior written consent of the Academy.
COMMUNICATION POLICY:
1. We utilize various communication methods, including email, site/sport-specific communications, and our primary social media platforms.
2. Please ensure that your contact information is kept up to date to receive all relevant communications and updates. Our goal is to provide you with information related to our clubs, events, and the latest news.
MARKETING CONSENT:
I consent to the Academy using photographs and/or video recordings including images of me and/or my children both internally and externally to promote the Academy. These images could be used in print and digital media formats including, but not limited to; print publications, websites, e-marketing, posters banners, advertising, film, social media, teaching and research purposes. I understand that images on websites can be viewed throughout the world and not just in the United Arab Emirates and that some overseas countries may not provide the same level of protection to the rights of individuals. I understand that some images or recordings may be kept permanently once they are published and be kept as an archive. I have read and understand the conditions and consent to my images being used as described. The personal data collected on this form will be held securely and will only be used for administrative purposes.

GOVERNING LAWS:
1. Any dispute or claim arising from or relating to this website will be governed and interpreted in accordance with the laws of the UAE.
2. Individuals under the age of 18 are prohibited from registering as users of this website and are not permitted to make transactions through the website.
3. If you make a payment for our products or services via our website, the details you provide will be directly transmitted to our payment provider through a secure connection. Please note that multiple transactions may result in multiple postings on the cardholder’s monthly statement. We encourage the cardholder to retain copies of any transaction records, as well as the Academy’s payment policies and Terms & Conditions.
PARTICIPANT’S DECLARATION OF RIGHTS:
I have the right to request to see a copy of the information the Academy holds about me and to request corrections or deletions
of the information that is no longer required. I can ask the Academy to stop using my images at any time, in which case it will not be used in future publications but may continue to appear in publications already in circulation.
